How often are orders placed and how long do they take?

Orders are placed twice per month

1) We collect orders from the first 1st of every month until the 15th end of the day.

These orders are placed on the 16th and will take 2-3 weeks after that to ship out.

2) We collect orders from the 16th – last day of the month end of the day.

These orders are placed on 1st of the month will take 2-3 weeks after that to ship out.

What if I need to make a change in a size or color?

You can email dtremblay@polarpromo.com. If order hasn’t been placed yet, we can adjust the order and send you a new confirmation.

Can I return items?

Unfortunately we cannot take them back as the items have been decorated.

We would suggest you hold on to them for giveaways or contact another location to see if they could use it and buy from you.

Can I make rush orders?

Unfortunately no, only place orders twice per month.

Are there clothing cut off times/dates?

Yes. Polar Promotions & Sportswear collects all orders on the 15th and end of each month. Make sure you get your orders in PRIOR to these dates to avoid an additional 2 week delay. 

Will employees pay GST or tax on their clothing orders? 

No. GST or tax will be billed to the branch from Polar Promotions & Sportswear. All GST or tax amounts will be reimbursed to the branch once taxes are completed for the calendar year.

What if my item doesn’t fit?

If you bring the item back and it’s not been worn, it can be taken back by your clothing delegate and a replacement can be ordered. That branch will be encouraged to sell it to another employee.  

Why do some items have a minimum amount that needs to be ordered?

Some of the hard goods (marketing) and specialty clothing items (i.e. – Winter Jackets) have minimums that are determined by the brand to ensure the best pricing. If you are in urgent need of an item, check with a neighboring branch to see if collectively you can share an order. You can then complete a cost transfer form. 

Backorders

Backorders will be shipped as they come in unless you inform us otherwise. Backorders will be noted on your packing slip with items that were shipped and available. If you do not want your entire order shipped until all items have arrived, please type this request in the field box at the bottom of Step # 3 (Address) of your order.
